Terms & Conditions

These Terms form a binding agreement governing Chickadee Travel's Services, including quote requests, itinerary approval, bookings, payments, Supplier services, cancellations, and related travel responsibilities.

Effective Date: May 10, 2026

Welcome to Chickadee Travel, LLC ("Chickadee Travel," "we," "us," or "our"). These Terms & Conditions ("Terms") govern your relationship with Chickadee Travel and apply to all travel planning, advisory, booking, itinerary, and related services provided by Chickadee Travel or its Travel Advisors (collectively, the "Services").

By submitting a quote request, accepting a proposed itinerary, authorizing payment, placing a payment method on file, signing or electronically accepting these Terms, or booking travel through Chickadee Travel, you ("Client," "you," or "your") agree to be bound by these Terms. If you submit information, accept an itinerary, authorize payment, or book travel on behalf of other travelers, you represent and warrant that you have authority to accept these Terms on behalf of all travelers included in the booking, including minors and other members of your travel party, and you agree to communicate these Terms to them.

Please read these Terms carefully. They contain important limitations of liability, dispute resolution procedures, travel-document responsibilities, payment obligations, and other legally binding provisions.

1. Role of Chickadee Travel

Chickadee Travel acts solely as an independent travel advisor and agent for third-party travel suppliers, including but not limited to airlines, hotels, resorts, cruise lines, tour operators, destination management companies, transfer companies, car rental companies, activity providers, insurance providers, and other travel-service providers (collectively, "Suppliers").

Chickadee Travel does not own, operate, control, manage, or supervise the services provided by Suppliers. Your travel contract for Supplier services is ultimately with the applicable Supplier, and the delivery, quality, safety, availability, and performance of those Supplier services are outside Chickadee Travel's control.

2. Supplier Terms

By booking travel through Chickadee Travel, you agree to be bound by the terms, conditions, tariffs, rules, restrictions, cancellation policies, refund policies, baggage policies, and other requirements of all applicable Suppliers. Supplier terms may apply to airfare, cruises, tours, hotels, resorts, destination weddings, group travel, package rates, custom travel arrangements, transportation, activities, and any other travel components.

Supplier terms may include non-refundable deposits, change fees, cancellation penalties, payment deadlines, minimum-stay rules, name-change restrictions, age restrictions, documentation requirements, health requirements, accessibility limitations, and other conditions. Chickadee Travel will make applicable payment, cancellation, refund, and fee terms available in writing before acceptance where reasonably available, but you are responsible for reviewing and complying with Supplier terms.

3. No Warranties

Chickadee Travel makes no representations or warranties, express or implied, regarding the suitability, safety, quality, availability, accessibility, financial stability, or performance of any Supplier or travel service. Supplier services are provided "as is" by the applicable Supplier.

While Chickadee Travel may provide recommendations and general travel information, we do not guarantee that any destination, accommodation, itinerary, tour, activity, Supplier, or travel arrangement will meet your expectations or be free from delay, disruption, inconvenience, illness, injury, risk, or loss.

4. Client Information and Duty to Review Documents

You are responsible for providing complete, current, and accurate information for yourself and all members of your travel party. This includes, without limitation, legal names exactly as they appear on government-issued identification and passports, dates of birth, passport information, contact information, loyalty-program numbers, accessibility needs, dietary needs, medical or mobility considerations, and any other information needed for travel planning or booking.

You are responsible for reviewing all itineraries, invoices, quotes, confirmations, tickets, vouchers, insurance documents, and other travel documents immediately upon receipt. You must notify Chickadee Travel in writing of any error, omission, misspelling, incorrect date, incorrect airport, incorrect destination, incorrect room type, incorrect passenger information, or other concern within twenty-four (24) hours after receipt, or sooner if immediate action is required by a Supplier deadline.

Chickadee Travel is not responsible for losses, penalties, fare increases, change fees, denied boarding, missed travel, or other consequences arising from inaccurate information provided by you, your failure to review documents promptly, or your failure to notify us promptly of an error or concern.

5. Passports, Visas, Entry Requirements, and Minor Travel

You are solely responsible for verifying and obtaining all documents and approvals required for travel for yourself and all members of your travel party. This includes, without limitation, passports, passport validity and blank-page requirements, visas, electronic travel authorizations, vaccination or health-documentation requirements, REAL ID compliance, transit requirements, re-entry requirements, minor-travel consent letters, custody or guardianship documentation, and all destination, connection, cruise, airline, and Supplier entry requirements.

Entry and transit requirements can change without notice. Chickadee Travel may provide general information or links to third-party or government resources, but such information is not legal, medical, immigration, governmental, or official advice. You are responsible for independently verifying all requirements with official government sources, embassies or consulates, airlines, cruise lines, and other applicable Suppliers before travel.

No refund, credit, reimbursement, or compensation will be provided by Chickadee Travel for denied boarding, denied entry, missed travel, quarantine, fines, penalties, cancellation, or other losses resulting from failure to obtain, verify, or present proper documentation or comply with applicable entry, transit, health, or identification requirements.

6. Quotes, Availability, and Itinerary Changes Before Booking

Travel quotes, availability, schedules, pricing, taxes, fees, exchange rates, and Supplier terms are subject to change until booking is confirmed and any required payment has been received and accepted by the applicable Supplier. A proposed itinerary is not guaranteed until confirmed by Chickadee Travel or the Supplier.

Suppliers may change schedules, aircraft, ships, accommodations, room assignments, itineraries, ports, activities, routes, inclusions, amenities, or other travel components before or during travel. Chickadee Travel will use reasonable efforts to assist with available alternatives when possible, but we are not responsible for Supplier changes, additional costs, or unavailable alternatives.

7. Payments, Fees, Deposits, and Unused Services

By providing payment information, authorizing payment, accepting a proposed itinerary, or booking travel, you authorize Chickadee Travel, its Travel Advisors, and its authorized payment, booking, and Supplier partners to charge your card or other payment method for travel costs, Supplier charges, planning fees, service fees, retainers, deposits, insurance premiums, change fees, cancellation fees, and other charges disclosed in writing or authorized by you.

Planning fees, service fees, retainers, deposits, Supplier payments, package components, insurance premiums, and other travel components may be non-refundable or subject to penalties depending on the terms disclosed in writing and the applicable Supplier terms. Chickadee Travel will make known fee, deposit, payment, cancellation, and refund terms available in writing before acceptance where reasonably available. By accepting those terms, you agree to be bound by them.

Unused travel services are non-refundable unless otherwise expressly stated by the applicable Supplier or in the written terms provided to you. Supplier penalties, Chickadee Travel fees, and other payment obligations may remain owed even if travel is unused, interrupted, delayed, cancelled, denied, or voluntarily abandoned.

Chickadee Travel reserves the right to decline, cancel, or suspend Services or bookings if payment is not received on time, payment authorization is revoked, payment information is invalid, or a Supplier deadline cannot be met.

8. Chargebacks and Payment Disputes

By submitting payment, authorizing payment, accepting a proposed itinerary, or booking travel, you agree that the charges disclosed to and authorized by you are valid and approved. You agree not to initiate a chargeback, payment dispute, reversal, or similar claim for charges that were properly disclosed, authorized, or subject to accepted Supplier or Chickadee Travel terms.

If you believe a charge was made in error, you agree to contact Chickadee Travel promptly so we can review the issue in good faith. Initiating a chargeback does not relieve you of payment obligations, Supplier penalties, cancellation fees, change fees, non-refundable amounts, or other amounts owed under these Terms or applicable Supplier terms.

In the event of an improper chargeback, payment dispute, reversal, failed payment, or collection matter, you agree to reimburse Chickadee Travel for all associated costs to the fullest extent permitted by law, including payment-processor fees, administrative costs, collection costs, and reasonable attorneys' fees incurred to recover amounts owed or enforce payment obligations.

9. Changes, Cancellations, and Refunds

All changes, cancellations, refunds, credits, vouchers, rebookings, and future travel credits are subject to the terms and policies of the applicable Suppliers and any written Chickadee Travel terms accepted by you. Chickadee Travel will use reasonable efforts to assist with change, cancellation, refund, credit, or rebooking requests, but we do not guarantee any refund, credit, waiver, exception, or favorable outcome.

Supplier cancellation penalties, change fees, fare differences, rate increases, currency changes, administrative fees, and other costs are your responsibility. Refund timing, method of refund, credit expiration, and credit usability are controlled by the applicable Supplier unless otherwise stated in writing.

10. Travel Insurance

Chickadee Travel strongly recommends that you purchase comprehensive travel insurance to protect your travel investment and reduce financial exposure. Travel insurance may include coverage for trip cancellation, trip interruption, medical emergencies, emergency evacuation, baggage loss or delay, travel delay, missed connections, Supplier default or insolvency, weather events, illness, injury, and other covered events. "Cancel for any reason" coverage is available only when offered by the insurer and purchased in compliance with the insurer's requirements.

Chickadee Travel requires Clients to consider available travel insurance options or sign an insurance declination or waiver where requested. If you decline or fail to purchase travel insurance, you assume all associated risks and financial losses.

Chickadee Travel is not liable for losses, costs, penalties, delays, cancellations, interruptions, medical expenses, evacuations, Supplier defaults, missed travel, or other events that are or would have been covered by travel insurance, including coverage that you declined, failed to purchase, or purchased in insufficient amounts.

11. Assumption of Travel Risks

Travel involves inherent risks, including but not limited to illness, injury, death, accidents, crime, terrorism, political instability, civil unrest, natural disasters, weather events, transportation disruptions, epidemics, pandemics, infectious disease exposure, border closures, government restrictions, Supplier insolvency, strikes, labor disputes, delays, cancellations, lost or damaged property, and conditions that may differ from those in the United States.

By booking or participating in travel, you voluntarily assume all risks associated with travel for yourself and all members of your travel party. You are responsible for independently evaluating destination conditions, health and safety risks, entry requirements, travel advisories, medical needs, insurance needs, and personal suitability for travel.

12. Destination Information and Client Decisions

Chickadee Travel may provide general destination information, recommendations, travel tips, advisories, links, or other guidance as part of the Services. This information is provided for convenience only and may change without notice. Chickadee Travel is not responsible for the accuracy, completeness, timeliness, or applicability of information provided by governments, Suppliers, insurers, or other third parties.

You are responsible for making your own informed travel decisions and for independently verifying health, safety, legal, immigration, customs, accessibility, weather, cultural, and local conditions before and during travel.

13. Accessibility and Special Requests

Accessibility standards, disability accommodations, mobility support, medical support, dietary accommodations, room configurations, bedding, adjoining rooms, views, amenities, and other special requests vary by destination and Supplier. Chickadee Travel may communicate requests to Suppliers, but we cannot guarantee any accommodation, special request, accessibility feature, or specific assignment unless expressly confirmed in writing by the applicable Supplier.

You are responsible for notifying Chickadee Travel in writing before booking of any accessibility, mobility, medical, dietary, or other special needs that may affect travel planning or participation.

14. Supplier Actions, Omissions, and Insolvency

Chickadee Travel is not responsible for the acts, omissions, negligence, representations, warranties, errors, delays, cancellations, schedule changes, overbookings, bankruptcies, insolvency, defaults, financial condition, or performance failures of Suppliers. This includes, without limitation:

  • Flight cancellations, delays, misconnections, schedule changes, or missed connections.
  • Hotel, resort, cruise, or tour overbookings or failures to honor reservations.
  • Lost, delayed, stolen, or damaged baggage or property.
  • Supplier service disruptions, strikes, labor disputes, bankruptcies, defaults, or insolvency.
  • Changes to itineraries, ports, routes, inclusions, activities, amenities, aircraft, ships, rooms, or transportation.
  • Injury, illness, death, accident, loss, inconvenience, disappointment, or expense arising from Supplier services.

Your rights and remedies for Supplier actions or omissions are governed by the applicable Supplier terms and applicable law.

15. Force Majeure

Chickadee Travel is not liable for losses, delays, cancellations, disruptions, additional costs, or other consequences caused by events beyond our reasonable control. Such events may include, without limitation, natural disasters, severe weather, hurricanes, earthquakes, floods, fires, war, terrorism, civil unrest, pandemics, epidemics, infectious disease outbreaks, government actions, travel restrictions, border closures, quarantine requirements, labor disputes, strikes, Supplier insolvency, transportation disruptions, technology outages, utility failures, or other unforeseeable or unavoidable events.

Travel insurance may offer coverage for some of these events, and Chickadee Travel strongly encourages you to obtain appropriate protection.

16. Limitation of Liability

To the maximum extent permitted by law, Chickadee Travel is not liable for any direct, indirect, incidental, consequential, special, punitive, or exemplary damages arising out of or relating to Supplier services, travel disruptions, denied boarding or entry, delays, cancellations, itinerary changes, missed connections, injury, illness, death, property loss, loss of enjoyment, emotional distress, disappointment, or any other travel-related event outside Chickadee Travel's direct control.

To the maximum extent permitted by law, Chickadee Travel's total liability for any claim arising out of or relating to these Terms or the Services shall not exceed the amount of fees actually paid directly to Chickadee Travel for its Services, excluding Supplier charges, pass-through costs, insurance premiums, taxes, government fees, and amounts paid to or for the benefit of Suppliers.

Some jurisdictions do not allow certain limitations of liability. In such cases, Chickadee Travel's liability shall be limited to the maximum extent permitted by applicable law.

17. Indemnification

You agree to indemnify, defend, and hold harmless Chickadee Travel, its owners, officers, employees, Travel Advisors, agents, contractors, affiliates, successors, and assigns from and against any claims, damages, losses, liabilities, fines, penalties, costs, or expenses, including reasonable attorneys' fees, arising out of or relating to:

  • Your violation of these Terms.
  • Your acts or omissions during travel.
  • Your failure to provide accurate information or proper documentation.
  • Your failure to comply with Supplier terms, laws, regulations, or travel requirements.
  • Claims brought by other members of your travel party, minors, family members, guests, or third parties in connection with travel arranged through Chickadee Travel.
  • Your chargeback, payment dispute, failed payment, or failure to pay amounts owed.

18. Right to Decline or Terminate Services

Chickadee Travel reserves the right to decline, suspend, or terminate Services to any Client at its sole discretion, including for abusive, threatening, discriminatory, fraudulent, unlawful, harassing, or inappropriate behavior; nonpayment; suspected fraud; unreasonable demands; failure to cooperate; or conduct that may create risk for Chickadee Travel, Suppliers, Travel Advisors, or other travelers.

If Services are declined, suspended, or terminated, you remain responsible for all amounts owed, Supplier penalties, non-refundable fees, and accepted travel terms.

19. Communications Consent

By providing contact information to Chickadee Travel, you consent to receive communications from Chickadee Travel and its Travel Advisors regarding quote requests, itineraries, bookings, invoices, payments, travel updates, documents, deadlines, service matters, and related travel communications by email, phone, text message, or other contact methods you provide.

Chickadee Travel does not use SMS text messaging for marketing without separate authorization. You may receive service-related text messages from your Travel Advisor when relevant to your quote request, booking, or travel.

You also consent to receive marketing emails from Chickadee Travel. You may unsubscribe from marketing emails at any time using the unsubscribe link provided in the email or by contacting Chickadee Travel. Unsubscribing from marketing emails will not prevent Chickadee Travel from sending transactional, booking, legal, payment, or service-related communications.

20. Privacy

Chickadee Travel is committed to protecting your personal information. Please refer to our Privacy Policy for information about how we collect, use, store, disclose, and protect personal information.

21. Governing Law, Dispute Resolution, and Arbitration

These Terms and any dispute arising out of or relating to these Terms, the Services, or travel arranged through Chickadee Travel shall be governed by the laws of the State of Minnesota, without regard to conflict-of-law principles.

Before initiating arbitration, the parties agree to attempt in good faith to resolve any dispute informally. A party seeking to raise a dispute must provide written notice by email describing the dispute and requested resolution. The parties will then have thirty (30) days to attempt to resolve the dispute informally, unless emergency relief is required or the parties agree otherwise.

If the dispute is not resolved informally, any claim arising out of or relating to these Terms, the Services, or travel arranged through Chickadee Travel shall be resolved exclusively through binding arbitration administered by the American Arbitration Association ("AAA") under the AAA Consumer Arbitration Rules, unless those rules do not apply or applicable law requires otherwise. Arbitration shall take place in Hennepin County, Minnesota, unless the parties agree to remote proceedings or another location, or unless applicable AAA rules or law require a different procedure.

Arbitration fees and costs shall be allocated in accordance with the AAA Consumer Arbitration Rules and applicable law.

Either party may bring an individual claim in small claims court if the claim qualifies and remains in small claims court. Any court proceeding permitted under these Terms, including an individual small-claims action or an action to enforce or confirm an arbitration award, shall be brought exclusively in the state or federal courts located in Hennepin County, Minnesota, to the extent permitted by law.

The parties waive any right to trial by jury. Claims must be brought individually and not as a plaintiff, claimant, or class member in any purported class, collective, consolidated, private attorney general, or representative proceeding, to the maximum extent permitted by law.

22. Time Limitation on Claims

Any claim arising out of or relating to these Terms, the Services, or travel arranged through Chickadee Travel must be brought within one (1) year after the claim accrues, unless applicable law requires a longer period that cannot be shortened by agreement.

23. Notices

Notices to Chickadee Travel under these Terms should be sent by email to hello@chickadee.travel. You are responsible for maintaining a current email address with Chickadee Travel and for monitoring communications related to your quote request, booking, travel, payments, and these Terms.

24. Amendments

Chickadee Travel reserves the right to modify these Terms at any time. Updated Terms will be posted on our website and will apply to future quote requests, itinerary acceptances, payment authorizations, bookings, and Services after the updated Terms are posted or otherwise provided.

25. Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect. Any invalid, illegal, or unenforceable provision shall be interpreted or modified to the minimum extent necessary to make it valid and enforceable, if permitted by law.

26. Entire Agreement

These Terms, together with any written quote, itinerary, invoice, payment authorization, insurance acceptance or declination, Supplier terms, and other written terms accepted by you, constitute the agreement between you and Chickadee Travel regarding the Services and travel arranged through Chickadee Travel.

27. Acknowledgment and Acceptance

By submitting a quote request, accepting a proposed itinerary, authorizing payment, placing a payment method on file, signing or electronically accepting these Terms, or booking travel through Chickadee Travel, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
